Video QI newsletters

Our quality council will soon be meeting to develop a quarterly 'newsletter' for staff regarding QI.  We have decided we would like to try to do a video format rather than a print/email newsletter in hopes to better engage our staff.  Our PIO is good with producing videos and has agreed to work with us on this project.  I'd like to hear from others that have done this and find out if you found this method to be successful in keeping staff knowledgeable and engaged in QI at your health departments and any lessons learned along the way.

This sounds like a great idea!  

We have utilized video a couple of times, recruiting staff from different departments to participate in social cause type public health marketing efforts. The video's were well received by staff and community partners. Those participating had fun and the activity promoted teamwork and agency spirit! We used an ipad to take the video, purchased the music from itunes and used a facebook tool to help sort copyrite concerns.

Good idea to break the mold and try a new approach to keep staff informed & engaged. I have not heard of an organization using video in lieu of a newsletter but I think it's a creative idea. I'll be watching this thread closely and watching for updates to learn more.

It's great that you have a PIO who is not only skilled in this area, but also who's willing to support your strategy. I wonder what other creative-types can be engaged in QI work to challenge the status quo for the daily work of QI.

Hi, I like this idea too, and although I have not directly created a QI-specific video, our agency's bi-monthly newsletter has multiple sections (including QI) that are sometimes converted to videos. We have had success with alternating between written articles and videos, rotating sections so that there are always both formats. I am happy to share a copy of our newsletter with you if you email me.

Our PIO also helps record these videos with an iPad and edits with iMovie or Windows MovieMaker. These videos can sometimes be used for our social media marketing and can be placed on our intranet/sharepoint for reference, so its nice to be able to use them multiple ways.

The only negative feedback for the video format that we have received is that sometimes staff don't have time/headphones/internet connection to support watching the video, whereas they could easily read a written article. But most of the feedback has been very positive.

If you do create a video, please share with us! I'm sure the PHQIX community could benefit from learning from your experience. Good luck!

Update: We completed our first edition of our QI news video for staff.  Here is a link to it on YouTube: https://youtu.be/gQ1U349xuPg 

It's hard to watch yourself on video but I'm getting used to it, haha.  The purpose of the video will be to communicate information about Quality Improvement (QI). Topics will include information about QI tools, current projects, improvements made by QI project teams, recognition of staff, and more.  We are currently hold a contest to have staff submit and vote on the name for the quarter news video.  We've had very positive feedback so far.

I appreciate any feedback from the group as well.  I'll keep this thread updated with the name that gets selected.

Oh my goodness! What an awesome video! So innovative and high quality! You should submit this as a NACCHO Model Practice Award. I loved the content (introducing liasons and highlighting QI projects) and the incentive of 1-hour paid time off for naming the newsletter. Are you sharing this with your staff via email?

The only thing I could think of to improve this may be to add an introductory slide for what to expect in the video, similar to an agenda. Maybe once the video's name has been selected, you could offer a similar prize for doing a QI project that affects multiple programs/employees or saves X amount of money.

One note: when I clicked on the link to the video, the webpage did not load. But, when I navigated to Youtube and pasted the link, your video came up.

Thanks for the feedback Gurleen! The video was posted on our employee portal (internal website).  We did include some copy under the video to explain the purpose especially for this first issue and sent an all staff email to remind staff to go to the portal and view the video.

I like the idea of an incentive for doing a project!!  We had thought about embedding an object in the video in the future and having staff identify where they saw it to win a prize (just as incentive to actually view the video!) 

We hope to draw on the talents of other staff members for future episodes.  For example, we have a good illustrator and we want to film him drawing some QI tools then speed up the footage as we describe the tool (i.e. flowchart).  Who knows what talents we may find!! We are very lucky to have a new PIO with these video producing skills.

This is an AWESOME idea.  Currently our e-newletter has low readership, so this may be the way do go as we begin to communicate about QI.  

Question:  How often are you sending (or planning to send) video newsletters?  They are definitely more time intensive than a written format.

Thank you Anna. We plan to post a new video each quarter.  Our PIO is very quick with the editting but we do want to be mindful of his time.  As soon as we finished the first one we started planning for the next.  We may even start working on some QI tool instrustional videos and have them in the cue for when there are quarters that everyone gets super busy  and we don't have as much time to work on it.

Our department combined a communication and QI objective within our strategic plan to have monthly communications inclusive of QI principles.  We chose to do this through monthly QI related videos.  Some months these were video updates about QI projects being conducted throughout the department.  Other months they were PPT tutorials with voice overs on QI tools.  This seemed to work out well and was well received by staff.

The PIO and I planned the video content for the quarter and revisited to see what was viewed most in making decisions about the content to be included in the next quarter.
