Sharing Progress with Staff- Strategic Plans

Wed, 10/28/2015 - 11:14 -- afreed

Our department now has little over a years worth of data collected for our Strategic Plan. We are trying to identify the best way to share this progress with staff.  We are a large department (250) and at 4 locations. I was thinking of doing some visuals- if anyone has anything they are willing to share I would appreciate it! Also- what has worked for you?

Thanks- Ali Reed

Hi Ali, great job on your SP progress. We are about 1 year behind you because we are just finalizing our SP. But, I wanted to share some of the resources we have used to successfully share data for other accreditation activities with our community and our staff.

A few things we kept in mind were that people prefer a 1-pager that is visually appealing and easy to read. We used an online website called piktochart (costs about $40/year) and canva (free) to design handouts (attached below). We also used Microsoft Word and Publisher. I'm sure these would help with sharing SP data as well.

We emailed these to the staff, presented them at our Board of Health meetings, and placed them on our intranet/website. If you have an agency newsletter, adding a spotlight section for the SP progress may be a good idea as well.

CHIP Summary (Microsoft Word) We plan to do this for our SP too.

CHIP Priority Data (pictochart)

Demographics (piktochart)

Hope this helps!

Hi Ali,

Dashboards can also provide a great visual for tracking progress.  Let me know if you'd like to see some examples.

Hi Ali,

I have some one-pager examples where some of our initiatives in the agency Strategic Plan became QI projects so we used a combination of informing staff on our efforts on how the QI plan and Strategic plan align.  We used a dedicated wall in each of our four buildings posting these one-page posters for each project area and rotated the posters as appropriate.  We posted these one-pager posters to the agency's intranet as well.

We also hosted monthly "Open Forums" for staff, customers, stakeholders and parters to attend updates on the agency strategic plan initiatives, health improvement plan, and QI plan.   The open forums were 20 minute presentations done by project lead staff.  Happy to share those templates that staff used to report on their progress to these groups. The presentations were posted to the agency's website.

Unfortunately, I don't know how to upload my examples? If anyone can send me an email on instructions I would greatly appreciate it.  Or, Ali if you would like to send me an email with your contact information I can send these templates and examples to you.

Thank you for your input!

Gurleen- those are great visuals. I do like the idea of a dashboard rather than an excel spreadsheet (which we currently have). I am still worried seeing the data in a dashboard would not interest staff.  I want to capture their attention! Has the dashboard been a successful for you Grace?

We have thought about putting it in our newsletter, the Healthy Times, but do not think all staff will read it. The monthly Community Forum sounds like a great idea. Do you get high attendence? Just curious.

Susan- I really like your idea about having a wall.  We are also tying our QI projects into things from the Strategic Plan. As a matter of fact, we are meeting in a week to decide which Strategic goals are not on track and identifying areas for QI projects. If you could show me a picture of how you displayed these projects so staff would be interested I would be grateful! My email is afreed@milwaukee.gov

Thank you all for your input, it is extremely helpful. I hate to reinvent the wheel and I know there are great ideas out there.

Hi Ali,

I've never used a dashboard for this purpose - sorry I can't be more helpful than that!  However, I have heard many people say that a dashboard is a great visual for quickly understanding areas of progress and areas that need attention.

Hi Ali,

We really like info graphics or dashboards for a quick glance of our results.  It is well recieved by both staff and our Board of Health.  A more in depth work plan with results and a column with red, yellow, or grean arrows or circles to quickly identify objectives met, some work done, and not met or started.

Good Luck!

Hello,

I wanted to share that the Philadelphia Department of Public Health recently designed two infographic posters (see attached) as a way to show staff our progress in implementing the Strategic Plan. The posters were printed in 11x17, laminated, and will be placed in all 17 facilities where staff and the public can view. It provides a linkage to the Community Health Assessment as well.

As we continue to implement the Strategic Plan, new infographics will be designed. Communicating information to staff can certainly be a challenge in large health departments. I hope this information is helpful.

Thanks!
Naomi

Our department is creating a QI showcase where we will highlight projects and have them kind of travel around to our three service centers.
