Grant Proposal Process Redesign Using a Kaizen Event

Summary

Impact Statement: 
The Louisiana Public Health Institute (LPHI), a nonprofit organization dependent on grant funding, engaged in a Kaizen process to decrease the amount of time it takes to prepare a grant proposal. After a 5-day Kaizen event, a new process and job aid were developed, and labor time for proposal preparation decreased by 68%. Moreover, LPHI also achieved a secondary improvement of no re-work loops. This enhanced process will allow LPHI to pursue additional grants and ultimately to do more work to improve the public’s health across Louisiana.
Summary: 

The LPHI mission is to improve the health and quality of life of all Louisianans regardless of where they live, work, learn, or play. LPHI is a statewide, 501(c)(3) nonprofit organization founded in 1997. LPHI’s operations and health improvement endeavors are initiated and sustained on revenue from successful proposal development. The proposal development process affects the entire organization and LPHI’s constituents directly and indirectly. By improving the efficiency of this process, LPHI will be better positioned to advance its mission to improve health for all by raising additional funds to support critical public health issues. The resulting success of the quality improvement (QI) project will affect all staff and partner organizations by yielding effective proposals that generate resources aligned with the LPHI mission. The QI team consisted of eight individuals across the organization from different levels, shared services, and portfolios. This team identified and developed solutions for issues during a week-long Kaizen event using QI tools and methods. The goal was to reduce staff labor time spent on proposals by 20%. Data from historical e-mail records and calendars were used to estimate the baseline. After applying the tools, the team estimated that the process will reduce labor time by 60% to 70%—and ultimately, they achieved a 68% reduction in labor time. Along with achieving impacts in labor time reduction, LPHI recognized that the QI tools used in the project would be applicable in many other areas across the organization, sparking a new culture of QI at LPHI.
