Evaluating QI Council

We have a QI Council that has been in existance for a number of years.  I feel that it is time to enhance the direction of our work.  Has anyone done a survey or evaluation of your teams to gather their feedback or recommendations?

Hi Jill,

This is a great question and I just did this with my quality team! I used our last monthly meeting to "revamp" our direction because I felt that everyone was a little bored. Our Quality Council was established in 2012, so it was certainly time to look at this. Moving forward we will look at this every 2 years, at least.

When planning this meeting, I used the perspective of a mini-strategic planning session, and framed it around updating the team's charter. I felt the agenda items below would help naturally guide the discussion.

  • Duration = 2 hours to allow enough discussion
  • Step 1: Introduce the charter (attached)
  • Step 2: What is our purpose? (SWOT analysis) - I asked every team member to write at least 1 item for each quadrant (strengths, weaknesses, opportunities, threats) on a sticky note. Review and summarize responses out loud.
  • Step 3: Where do we want to be in 1-5 years? (Vision) - ask the team to dream a little about where they could be if they were successful in accomplishing their purpose (Step 2). Review and summarize responses out loud.
  • Step 4: What do we have to do to achieve our vision (Step 3)? - use this to create SMART goals.
  • Step 5: Roles and Responsibilities - This is important because we want everyone to understand why they are a part of the team so that they are engaged. Ask the team if everyone that can help with the team's purpose and vision is on board. This can be a nice way to get the right people on the bus or be more lean and elliminate waste :). Also, ask the team to review the ground rules (attached) and see if they have any additions.

TIP:

  • Steps 2-5: Ask everyone to write at least 1 response and afterwards, summarize aloud all of the responses. The facilitator should not participate in resonding, so if you would like to participate, ask a neutral party to facilitate.
  • Sticky notes allow everyone's voices to be heard! You will be surprised by how many people respond the same way as each other, say what you are thinking, and even provide additional perspectives/ideas when they are asked to be candid.

Hi Jill,

It sounds like you'd like to survey QI Council members for their input about the future direction of the QI Council. Have you also thought about surveying other stakeholders (e.g., other QI champions, QI antagonists, agency director, leadership team, customers, etc.)?

Hi Jill,

If you have not yet done NACCHO's Self-Assessment Tool for a Quality Culture, I would recommend it.  Once you complete the scoring sheet, your QISC could work on some of the transition strategies listed in the back of the tool.  The tool can be found on NACCHO's website.

Hi Jill!

This is a great question. I facilitate a multi-county accreditation and performance management learning community and recently did an evaluation of its effectiveness. We have done similar work for our QI Council. The evaluation that I developed was based on measuring the effectiveness of our activities and simply asking participants if they were better off as a result of their involvement (i.e., have their knowledge and skills increased). Please let me know if you would like a copy of the survey and the storyboard summarizing the results; I would be happy to share.
